What Are The 6 Steps To Have An Effective Communication?

Known for being excellent communicators are effective leaders. Here's what to do.

Avoid "Not." Negative talk encourages arguments, counter attacks, and attempts to solve your problems. Another thing it creates is negative impression. For instance, you appear ineffective and helpless if you say "I can't." Talk about what you can do and what you want instead.

Deal with impossible requests by 1) acknowledging the request, 2) empathizing with the other person's feelings, 3) saying, "I wish I could fix it." and 4) suggesting a reasonable alternative." Working at a resort and it's raining is one example. A guest walks up to you carrying a golf bag, slams it against your desk, and shouts, "This place stinks! I spent thousands of dollars coming here and it's raining."

Your response would probably be "you're right it's raining." And I know how upsetting it must feel to travel this far and be stuck inside. Is there a way to make it stop? By affirming your willingness to help is how you deal with difficult requests and ask the other person to help you plan a solution.

You could say "I understand you want me to start a new project" when your boss asks you to start a new project. If you're working on another project right now, then let him know. To set your priorities, ask him which project he would want you to finish first.

When possible, offer choices that show the consequences of different options. Doing this will allow the other person to choose both the process and its impact.

Saying it's a great idea is what you can do. And there are different ways I can meet your request. There are existing supplies you can use which are free or tell them that they can buy custom materials that will cost $500. Then ask them which they would prefer.

Deal with complaints by asking the other person to describe a fair settlement. What you can do is ask them what would make them happy, what would they want, and what they would consider a fair solution.

A smile significantly affects how you sound. When you smile, you also become more approachable. Frowning will cause other people to hear anxiety, fear, rejection, and caution. Open communication is encouraged with a smile or pleasant expression.
